FAQ

Questions teams ask before they trust us with their customers

Honest answers about what Vaanik does, where it sits in your tools, and what going live really takes. If something here does not match your world, write to [email protected] — we would rather clarify than oversell.

We start from how your team actually works

Most growing businesses already have demand. The hard part is answering, following up, and keeping records when the team is on a site visit, on the floor, or off shift. Vaanik is built for that gap — not for a six-month IT programme.

You keep the tools you already trust

WhatsApp, Instagram, Messenger, Facebook, your website, email, Exotel or Twilio, HubSpot, Salesforce, Google Sheets, Calendar or Tasks, listings, Shopify, and the rest of the stack named below. Customers stay where they already message you. Your team does not learn a new app to get work done.

Humans stay in charge of the relationship

Vaanik handles the repetitive conversations so your people can close, advise, and show up. When a customer needs a person, we hand over with context — what they asked, what was promised, what is still pending.

The product

Plain answers about what Vaanik is — and what it is not.

What does Vaanik actually do?

Vaanik creates and runs AI employees for customer conversations. They pick up inbound calls, run outbound follow-ups, and chat on WhatsApp, your website, and social. Then they do the next useful step: qualify, book, remind, write a row to Google Sheets, put a Google Task or Calendar event on the team’s plate, or write a note back to your CRM. Think of them as coverage for the conversations your team cannot sit on all day — not as a replacement for the people who close the deal.

Does it sound like a real person?

It is built to sound natural — calm pace, warm tone, your customers’ language (even mixed in the same sentence), and customers can interrupt. We do not pretend nobody will ever notice it is AI. What we aim for is a capable teammate, not a stiff IVR tree. You hear it on your own script in the demo and decide if it fits your brand.

Will this replace my team?

No. Vaanik takes the repetitive load: first replies, reminders, qualification, after-hours coverage. Your team still handles judgement, negotiation, and the moments that need a human. If a conversation needs a person, we transfer or book a callback with the full thread attached.

What if it gets something wrong?

It only knows what you give it — your products, prices, FAQs, and rules. If something is missing or outdated, it can hesitate or hand over rather than invent an answer. You can correct the knowledge, and we help you set when it must escalate. That is why we start with a live demo on your use case, not a generic pitch.

Which languages does it speak?

Your customers’ language, including two languages mixed in one sentence — the way people actually talk. Tell us which languages your customers use and we will confirm what is live today. You do not need a separate hire just to cover language.

What are custom outcomes?

You name success in your own words — Qualified, Site visit booked, Order confirmed, Renewed, Loan eligible, or whatever your team already writes on a lead. Vaanik tags each conversation that way so reports and CRM stay in your language, not ours.

Which channels can it run on?

All of them we list here. Chat and social: WhatsApp, Instagram DMs and comments, Messenger, Facebook comments, website chat, landing pages, contact forms, email, walk-ins, and referrals. Voice: inbound calls, outbound follow-ups, and missed-call callbacks. Demand that starts in ads or listings: Meta Ads, Google Ads, Google Business Profile, 99acres, MagicBricks, Housing.com, and NoBroker. It replies on the same channel the customer used, then can follow up on WhatsApp with the next step — details, a payment link, or a booking slot — so nothing sits unanswered.

Which telephony do you support?

Exotel, Twilio, and standard SIP — inbound, outbound, and missed-call flows on the numbers you already own, or new ones if you need them. Calling windows, opt-outs, and TRAI-safe defaults stay on whichever carrier you use.

Will it work with my CRM and other tools?

In most cases, yes. Records: HubSpot, Salesforce, Zoho, LeadSquared, or the CRM you already open every morning — and it can write a new row to Google Sheets when a conversation lands (lead, status, next step). Scheduling: it can create a Google Task or a Google Calendar event, whichever your team actually lives in, so a site visit, callback, or delivery slot does not live only in the chat. Capture: Google Forms. Commerce: Shopify, Shiprocket, and payments / POS. Connectors: webhooks and API — if a system can receive an HTTP call, we can usually push a lead, a status, or a task. Listings and ads (99acres, MagicBricks, Housing.com, NoBroker, Meta Ads, Google Ads, Google Business Profile) land in the same thread so your team is not copying between tabs. If your stack is unusual, tell us on the demo — we will say honestly what is native vs custom.

Can it write to Google Sheets or put something on my calendar?

Yes. A qualified lead, a booking, or a follow-up can be written as a row in the Google Sheet you already use — no copy-paste at the end of the day. For time-bound work, it can schedule a Google Task or a Google Calendar event (you pick which). The conversation stays on WhatsApp or the call; the record shows up where your team already looks.

Do my customers need a new app?

No. They keep WhatsApp, Instagram, Messenger, Facebook, the phone, email, or your website. Your team keeps HubSpot, Salesforce, Zoho, Google Sheets, Google Calendar or Tasks, Shopify, or whatever they already open in the morning. Vaanik sits underneath as the layer that answers and follows through.

Your business

Who this is for, what going live really looks like, and what we need from you.

Is this for a company like mine?

If demand arrives as a conversation — a WhatsApp ping, a missed call, a form, a portal lead — and follow-up is where things slip, you are the kind of team we built this for. That includes real estate, cloud kitchens, D2C, fitness, finance, edtech, healthcare, and advertising. You do not need an enterprise ops desk or a dedicated engineer to start. If you are unsure, a 20-minute demo is the fastest way to know.

Is there a free trial?

Yes. You can try one AI employee free for 14 days, on calls, WhatsApp, Instagram and web chat, with no credit card. Sign up and we get in touch to set it up with you on your own business. At the end of the 14 days you decide whether to keep it on a paid plan; nothing is charged unless you do.

How long does setup take?

Most teams go live within 24 hours. We still need a clear picture of your products, FAQs, pricing, and how you want conversations to end. You share what you already have; we configure the agent around your use case and stay with you through onboarding. The first launch does not require developers. Timeline slips when knowledge is incomplete — we will tell you that upfront rather than promise “10 minutes” for every business.

What do you need from us to start?

A use case (for example: missed-call callback, WhatsApp enquiry, site-visit booking), the facts customers ask for, and access to the channel you want live first. A short call with someone who knows the floor — a sales lead, store manager, or ops owner — is more useful than a 40-page brief.

Do I need engineers?

Not for the first launch. Agent design, knowledge, and outcomes are no-code. Engineers only come in if you want a deep hook into an in-house system. Everyday changes — a new project, a festival offer, a new branch — your team can make without opening a ticket.

Can it transfer to a human?

Yes. When a conversation needs a person, the agent hands it to the right teammate with context — what was asked, what was promised, which outcome is pending — or it books a callback. That is the point: close the gap, do not hide your people.

Trust and compliance

Your data stays yours. Calling rules are on by default. You can hear it before you buy.

Is my data safe?

Your knowledge base, transcripts, and customer records stay in your tenant. Encrypted in transit and at rest. We do not use them to train models for another business. If you have a DPA or security questionnaire, write to [email protected] and we will walk through it with you.

Is it TRAI and DND compliant?

Calling windows, do-not-say lists, opt-outs, and disclaimers are built in — on Exotel, Twilio, or SIP. Compliance still depends on how you use the system (who you call, when, and with what consent). We set the defaults; we will not pretend the rules do not apply to you.

Can I see it before I buy?

Yes — and you should. Book a demo and we run a live conversation on your use case: your script, your language, your kind of customer. Hear it, ask what happens when it does not know, and only then decide. If it is not a fit, we would rather say so than force a rollout.

Hear it on your use case first

We will run a live conversation with your script and your language — WhatsApp, a call, or your CRM. Ask what happens when it does not know. Decide after you have heard it.
